Moving, Shipping, or Repacking the Printer
Step 1
Shipping the printer to the central depot
Solution: General moving, shipping, and repacking the printer

Follow these guidelines to move the printer within the office or to prepare the printer for shipment.


If the machine needs to be serviced, it may be serviced at a local Authorized Depot Repair Center. Use the Local or Authorized Service Provider search tool to find a location near you to take the printer for repair..

Moving, Shipping, and Repacking the Printer


Warning: Follow these guidelines to avoid injuring yourself or damaging the printer.

Precautions for Moving the Printer


Always wait 30 minutes after shutting down the printer before moving it or preparing it for shipment. This allows time for the ink in the printer to solidify. Not allowing the printer to cool down for 30 minutes can cause printer damage.

  • Always allow the printer to cool before it is moved to avoid ink spills which can damage the printer.
  • Use the Fast Shutdown mode at the front panel (Shut Down for Moving Printer) for best results.
  • Always turn off the printer using the power switch, located under the interface cover on the right side of the printer, and unplug all cables and cords. Never turn off the printer by pulling the power cord or using a power-strip with an on/off switch.
  • Never move the printer if you receive a Power Down Error-Head not Parked message at the printer's front panel. This message means the printer is not ready to be moved. If the printhead is not locked, the printer can be damaged during shipment. Contact customer support or an Authorized Service Provider for further assistance if this has occurred.
  • Always look at the green flag in the exit tray to ensure that it is in the raised position. When the green flag is raised the printhead is locked (See Fig. 1 below). Contact customer support or an Authorized Service Provider for further assistance if this has occurred.
  • Always use two people to lift the printer.

  • Always move the printer separately from the 525-Sheet Feeder.
  • Failure to repackage the printer properly for shipment can result in damage to the printer not covered by the Xerox warranty, service agreement, or Total Satisfaction Guarantee.
  • Damage to the printer caused by improper moving is not covered by the Xerox warranty, service agreement, or Total Satisfaction Guarantee.

Moving the Printer Within the Office

  1. Close the printer's door and covers.
  2. Turn off the printer using the power switch located under the interface cover on the right side of the printer.
  3. Within 10 seconds of turning off the printer, select Shut Down for Moving Printer at the printer's front panel.

  4. Caution: Never move the printer if you receive a Power Down Error-Head not Parked message on the printer's front panel. This message indicates the printer is not ready to be moved. If the printhead is not locked, do not move the printer as it can be damaged during shipment. If this occurs, contact Xerox customer support or an Authorized Service Provider for further assistance.

  5. Verify that the green flag in the exit tray is in the raised position. When the green flag is raised the printhead is locked (See Fig. 1).

  7. Wait for the printer to complete the cool-down period for the ink to solidify. The printer will shutdown when it is cool enough to move.

  8. If you turn off the printer but do not select Shut Down for Moving Printer, you must wait 30 minutes before moving the printer. This allows a cool-down period for the ink to solidify and ensures that the printer is safe to move.

  9. Unplug the printer after the cool-down cycle is complete.
  10. Lift the printer by using the hand holds on each side of the printer. Move the printer separately from the 525-Sheet Feeder.

Preparing the Printer for Shipment


To transport the printer by vehicle, the printer must be repackaged in the original packaging or a repackaging kit. If you do not have the original packaging, order a repackaging kit by phoning 1-800-835-6100 in the United States or visit the Worldwide Contact site if outside the United States. Additional instructions for repackaging the printer are provided in the repackaging kit (kit part number: 065062800) or can be found on the User Documentation CD-ROM.

Repacking the Printer
  1. Verify that the printer is turned on, then open the side door on the right panel (See Fig. 2).

  3. Remove the orange maintenance kit (labeled A) and place it in a plastic bag for storage (See Fig. 3).

  5. Remove the green waste tray (labeled B), empty the waste, then place the tray in a plastic bag for storage (See Fig 4).

    Caution: Shipping the printer with the maintenance kit and waste tray installed will damage the printer.

  7. Close the printer's door and covers.
  8. Turn off the printer using the power switch located under the interface cover on the right side of the printer.
  9. Within 10 seconds of turning off the printer, select Shut Down for Moving Printer at the printer's front panel.

  10. Note: If you receive a Power Down Error-Head not Parked message at the printer's front panel, the printer is not ready to be moved. If the printhead is not locked, the printer can be damaged during shipment.

  11. Verify that the green flag in the exit tray is in the raised position. When the green flag is raised the printhead is locked (See Fig. 1).

Do not ship the optional 525 sheet feeder with the printer (it will not fit in the box).

Solution: Shipping the Printer for Quick Exchange


Caution: Never move the printer if you receive a Power Down Error-Head not Parked message on the printer's front panel. This message indicates the printer is not ready to be moved. If the printhead is not locked, do not move the printer as it can be damaged during shipment. If this occurs, contact Xerox customer support or an Authorized Service Provider for further assistance.

Please follow the instructions below to process a quick exchange. Once the printer is packaged, attach the label to the box and contact Airborne for pick-up.

  1. Turn the printer off (See Fig. 1).

Caution: Wait 30 minutes after turning the old printer off, before moving the printer or you may spill ink inside the printer.

  5. Move the media tray from the old printer to the new printer (See Fig. 4).

Caution: Do not remove the last ink stick. You can damage the printer. The ink stick is bonded to the ink melter. Your new printer already has this ink stick.

  1. Move the configuration card from the old printer to the new printer (See Fig. 7).

Caution: Make sure to touch the rear of the main board to ground any static charge prior to removing or installing the memory. Follow safety precautions.

  1. Move the optional hard drive (only pre-installed in DX model - See Fig. 8).

  1. Move optional second RAM Memory DIMM if installed (DX and DP printer model only - See Fig. 9).

  1. Verify that the green Print Head Lock flag is popped up and ready for shipment (See Fig. 10).

  3. Repack the old printer (See Fig. 11).

  5. Do not ship the optional lower tray assembly with unit.
  6. Write the RMA# on the pre-paid shipping label sent with the replacement printer. Attach this label to the side of the box with adhesive tape.
  7. Write the RMA# on the outside of all cartons.
  8. Call Airborne for pickup 1-800-AIRBORNE (1-800-247-2676).

If you are shipping the printer back under an Express Exchange service agreement, you must return the old unit within 10 days or you will be charged for the printer.
